Privacy Policy

Pool Prime Pro ("the Platform"), developed and produced by NXTK Software Solutions LLC, provides field service management software to pool maintenance, repair, and service businesses. This policy explains what data the Platform collects, why it is collected, how it is stored, and the choices available to business clients and their customers.

1. Information We Collect

Account information: business name, administrator and user names, email addresses, phone numbers, mailing addresses, profile photos, assigned roles, and assigned vehicles.

Customer records entered by business clients: customer names, service addresses, contact details, service history, quotes, and invoices.

Service operations data: scheduled and completed stops, check-in and check-out timestamps, chemical readings (pH, chlorine, alkalinity, salt, stabilizer, calcium), uploaded photos, technician notes, and internal notes.

Location data: GPS coordinates recorded at technician check-in and check-out, and live technician position while a work shift is active.

Payment data: payment method references, invoice amounts, transaction status, and payout records. Full card and bank account numbers are handled and stored by Stripe and never stored on Platform servers.

Technical data: device type, browser, IP address, and diagnostic logs used to operate and secure the service.

2. GPS and Location Tracking Consent

The Platform records geofenced arrival and completion location data when a technician marks a stop as Arrived or Completed, and may display live technician position to authorized dispatchers during an active shift.

Business clients are responsible for informing their employees of location tracking and obtaining any consent required by applicable law. Technicians are shown a location permission prompt by their device before any coordinates are captured, and location tracking can be declined at the device level — though certain verification features will not function without it.

Location data is used strictly for dispatch, route optimization, service verification, and dispute resolution. It is not sold, and it is not used for advertising.

3. How Information Is Used

To provide scheduling, dispatch, service logging, quoting, invoicing, payment processing, and reporting functionality.

To power AI assistant features, including equipment identification, diagnostic workflows, and account support. Customer-facing AI is restricted to public account records and masked service reports and cannot access internal admin or technician notes.

To send transactional communications such as appointment confirmations, invoices, receipts, and account notices.

To maintain platform security, prevent fraud, and comply with legal obligations.

4. Data Storage and Security

Data is stored on managed cloud infrastructure with encryption in transit and at rest. Access is limited by role-based access control, and administrative access to production data is restricted to authorized personnel.

The mobile technician application caches service data in local device storage (IndexedDB) when connectivity is unavailable. Cached entries are transmitted to the Platform and cleared from the queue once synchronization completes.

Payment credentials are vaulted with Stripe using SetupIntents. The Platform stores only tokenized references.

5. Data Sharing

The Platform does not sell personal information. Data is shared only with service providers required to operate the Platform, including Stripe for payment processing, QuickBooks Online where a business client enables synchronization, mapping and geolocation providers, and AI model providers for assistant features.

Business clients control their own customer data. Records entered by a business client are visible to that business client's authorized users and to the relevant customer through the customer portal.

Information may be disclosed if required by law, subpoena, or to protect the rights and safety of users and the Platform.

6. Data Retention and Portability

Operational records are retained for the life of the account and for any period required for tax, accounting, or legal purposes after account closure.

Business clients can export customer, product, and service data at any time via the CSV export utility, and may request deletion of their account data by contacting support.

7. Your Rights

Depending on jurisdiction, individuals may request access to, correction of, or deletion of their personal information, and may object to certain processing. Customers of a pool service business should direct such requests to that business, which acts as the controller of its own customer records; the Platform will assist as processor.

8. Children's Privacy

The Platform is intended for business use and is not directed to individuals under 16 years of age.

9. Changes and Contact

This policy may be updated as the Platform evolves. Material changes will be communicated to account administrators. Questions about this policy can be submitted through the contact page at poolprimepro.com.
